About the role
Event Manager will play a pivotal role in contributing to the conceptualization and implementation of events, managing detailed plans, budgets, and timelines. The role involves overseeing vendor relationships, negotiating contracts, ensuring quality service, pre and post event reporting, and requires strong organizational, coordination and communication skills. The ideal candidate will thrive in a dynamic environment and possess a comprehensive understanding of the Saudi Arabian market.
What will be your responsibilities?
Event Management
· Contribute to the conceptualization and implementation of event concepts, themes, and strategies
· Develop comprehensive event plans, timelines, budgets, requirements, and scope
· Plan and coordinate all logistical aspects of events
· Directly oversee the execution of event deliverables in collaboration with contractors
· Organize, coordinate, and lead project kick-off meetings
Vendor Management
· Research, source, negotiate with, and manage vendors, including venues, catering services, audio-visual providers, decorators, and production
· Cultivate and maintain strong relationships with vendors to ensure quality service and competitive pricing
· Supervise vendor deliverables, contracts, agreements, and payments
· Admin Management
· Monitor expenses, track invoices, and provide regular budget updates to management
· Develop detailed event budgets and ensure events adhere to financial constraints
On-Site Event Management
· Conduct site recces and develop assessment reports and plans
· Coordinate and supervise event setup with contractors, ensuring adherence to scope
· Address on-site challenges or issues during events
· Ensure the seamless execution of all event components, logistical arrangements, and activities
· Develop contingency plans and risk management strategies for unexpected issues
· Conduct post-event evaluations to gather feedback and measure event success
Reporting
· Develop project progress reports and provide regular and ad hoc updates as needed
· Create project closing reports and generate expense reports
Requirements
What you'll need:
· 5+ years of proven event management experience
