Pre-event:
1. Shuttles:
a. Working with the Travel Department on the preparation of the shuttle plan (airport pickups, hotel-venue-hotel transportation).
b. Establishing management of additional transportation requests.
2. Hotels:
a. Involvement in setting up workflows with the hotels.
b. Staff lounge planning (furniture, equipment, snacks etc.).
3. Players amp; Talent:
a. Goodie bags:
i. Welcome letter creation (in cooperation with the Player and Talent Management).
ii. Gifts/items for the goodie bag - suggestions, finding production companies/vendors, involvement in the discussion.
b. Player/Talent lounges:
i. Involvement in the planning of how the organization of player/talent lounges would look (both at the hotel and the venue) - furniture, equipment, snacks etc.
c. Activities:
i. Establishing a plan for the activities on site and their frequency.
During the event:
1. Shuttles: a. Working closely with the Travel Team and the Shuttle agency to coordinate transportation of players, talent, influencers and staff.
2. Hotels:
a. Overseeing reservations, rotations between people and room availability together with the Travel Team.
b. Attending daily meetings with the reservation and the room service teams.
c. Overseeing the staff lounge.
3. Players amp; Talent:
a. Goodie bags:
i. Coordination (together with the Player/Talent Management) of the goodie bag distribution in all the rooms at the hotel.
b. Player/Talent lounges:
i. Supervision of the lounges (together with Player/Talent Management).
4. Activities:
a. Being the main Point of Contact for any trips/activities for players, talent, influencers and staff.
b. Booking trips with trip agencies.
c. Coordinating shuttles.
d. Organizing dinners for players/talent/influencers (together with Player/Talent/Influencer Management
